Request for Proposals (RFP) CATERING: Haileybury Golf Club - 2024 Season

Introduction:

Haileybury Golf Club is seeking proposals from experienced caterers for the provision of meal services during the 2024 golf season. We invite qualified caterers to submit their proposals to provide meals for events hosted at our club. The selected caterer will be expected to deliver high-quality meals while ensuring tax and gratuity are included in the overall cost.

 

Scope of Work:

The selected caterer will be responsible for providing meal services for events hosted at Haileybury Golf Club during the 2024 season. There are between 1500-1800 meals required over the golf season.. Meals should be of high quality, and the selected caterer will be responsible for:

 

Menu Planning: Designing a diverse and appealing menu that caters to a range of tastes and dietary preferences.

 

Food Preparation: Ensuring that all meals are prepared to the highest culinary standards and meet all food safety regulations.

 

Service: Ensuring that meals are served efficiently and professionally by qualified staff.

 

Tax and Gratuity: Including all applicable taxes and gratuity in the proposed pricing.

 

What HGC Offers:

Clubhouse Facilities: Access to our spacious clubhouse with a seating capacity of 110.

 

Commercial Kitchen: A commercial kitchen equipped with 2 ranges, triple sink, large cooler, microwave, plates and cutlery.

 

Community Atmosphere: HGC boasts a welcoming community atmosphere, perfect for various events and celebrations.

 

Exclusive Events: HGC offers one Men's Night and one Ladies' Night every week from mid-May to the end of September, multiple golf tournaments, club social events and providing additional opportunities for private event catering services.

 

Unique Offering:

First Right of Refusal: Private event renters will have the opportunity to negotiate a first right of refusal for future bookings, enhancing the potential for recurring business.

 

Proposal Submission Requirements:

Interested caterers should submit a comprehensive proposal that includes the following information:

 

  • Company Overview: Provide a brief overview of your catering company, including experience, specialties, and relevant certifications or licenses.
  • Menu Options: Present a variety of menu options suitable for different types of events. Highlight any flexibility in accommodating dietary restrictions or special requests.
  • Pricing: Clearly outline the pricing per plate structure for your meal services, including all taxes and gratuity. 
  • References: Provide contact information for at least three references from previous clients.
  • Availability: Confirm your availability during the 2024 season, including any blackout dates or scheduling limitations.
  • Additional Services: Detail any additional services or amenities you can offer, such as event coordination or rental of equipment.

 

Selection Criteria:

The Haileybury Golf Club will evaluate proposals based on the following criteria:

 

  • Menu Quality and Diversity.
  • Pricing Competitiveness.
  • Catering Experience and References.
  • Professionalism and Customer Service.
  • Compliance with Tax and Gratuity Inclusion.

Notification and Contract Award:

The Haileybury Golf Club will review all proposals and select the caterer that best meets our requirements. The selected caterer will be notified within 1 month. A contract will be negotiated, and services will commence during the 2024 season.
